Privacy Policy

HEAT, LLC (“HEAT”, “we”, “us”) is a manufacturer's representative for Cooper & Hunter, OLMO, Bravo and ArmBridge heating and cooling equipment in Colorado and Wyoming. We work with HVAC distributors, their contractors, and the mechanical engineers who specify equipment.

This policy covers information we collect through smartheat.us, through our contact and sign-up forms, by email and phone, and through text messages you agree to receive from us. Our distributor portal at portal.smartheat.us is a separate product with its own account terms; this policy still governs the personal information we hold about you there.

Information you give us:

• Name, company, job title and warehouse or territory.
• Business email address and business phone number.
• Mobile phone number, when you give it to us for text messaging.
• Project details, drawings, model numbers, serial numbers and job-site information you send us when you ask for equipment selection or open a support case.
• Anything else you choose to put in a message to us.

Information we collect automatically:

• Pages viewed, files downloaded, referring page, approximate location from IP address, browser and device type.

We do not ask for and do not want government identification numbers, payment card numbers, or bank account numbers through this website.

• To answer your question, quote or equipment-selection request.
• To open, work and close a support, warranty or order case.
• To send you order, shipment, back-order and case updates — by email or, if you have agreed to it, by text message.
• To invite you to training, webinars and events you have asked to hear about.
• To give the manufacturer aggregated market information — what is selling and where — not your personal contact details.
• To keep the site secure and working, and to meet our legal and tax obligations.

If you give us your mobile number and agree to receive text messages, we use that number to send you the messages described in our SMS Terms — order, shipment, back-order and support-case updates for business you already have with us.

You can stop text messages at any time by replying STOP. Stopping text messages does not close your account, cancel an order, or stop us contacting you by email or phone about business you have with us.

We share your information only in these situations:

• Service providers — companies that run our email, hosting, messaging, calendar and customer-record systems on our behalf, under contract, and only to do that work.
• The manufacturer and the distributor involved in your order or case — to place, ship, invoice or warranty an order, the information about that order has to go to the parties handling it.
• Legal — where we are required by law, or to protect our rights, safety, or property.
• Business transfer — if HEAT, LLC or part of it is sold or merged, information may pass to the buyer, subject to this policy.

We do not sell personal information. We do not rent, trade or share it with lead generators or data brokers. Mobile numbers and SMS consent are excluded from all sharing except the delivery vendors named in section 04.

We use cookies to keep the site working and to understand which pages and documents are used. You can block or delete cookies in your browser; parts of the site may then not work. If we use an analytics service, it is configured not to sell or share your data for advertising.

We keep case, order and quote records for as long as we need them for the business relationship and for the periods our tax and legal obligations require. Mobile numbers held for text messaging are kept while your consent stands, plus the record of your opt-in and opt-out, which we are required to keep as proof of consent.

• Text messages: reply STOP to any message.
• Email: use the unsubscribe link, or write to us.
• Access, correction, deletion: ask us and we will do it, unless we are required to keep the record.

Colorado residents have rights under the Colorado Privacy Act, including the right to know what we hold, to correct it, to delete it, to a portable copy, and to opt out of targeted advertising, sale, and profiling. We do not sell personal data or use it for targeted advertising. To exercise any right, write to info@smartheat.us. We will not treat you differently for asking.

We use access controls, encrypted connections and vendor systems with their own security programmes. No system is perfect; we cannot guarantee absolute security, and you send information to us at your own risk.

This is a business-to-business website. It is not directed to children under 13, and we do not knowingly collect their information. If you believe a child has given us information, write to us and we will delete it.

If we change this policy we will post the new version here and change the effective date at the top. Material changes to how we handle mobile information will be announced on this page before they take effect.
